moneybird estimate follow-up

Following up on estimates in Moneybird vs. FollowBird

You want Moneybird estimate follow-up without repeating the same chores every week. Moneybird is your source for quotes; the question is what the package handles itself and what you add alongside it. This article describes that fairly, with links to official Moneybird help, and explains where FollowBird (not a Moneybird product) fits — without promising what Moneybird or we do not deliver.

What Moneybird does well for estimates

In Moneybird you create estimates, email them, let clients accept online and turn an accepted quote into an invoice. You see statuses such as open, accepted, rejected and invoiced. That is where your administration should be correct.

For the first send you can edit the cover email (send estimate). After online acceptance the status moves to accepted automatically (accepting an estimate). You can also change status manually when you get agreement by email.

That is the foundation. Follow-up after sending is where many entrepreneurs look for extra help.

Automatic reminders: invoices yes, estimates different

Moneybird workflows support automatic reminders for invoices. In the invoice workflow you can enable automatic reminder sending (invoice workflow, automatic invoice reminder). That fits chasing open debtors.

For estimates, Moneybird states clearly that you cannot send a separate reminder for an estimate from Moneybird. You can resend the estimate and explain in the email that it is a reminder (same sending article). There is no built-in “day 3, day 10, day 21” series like you can align for invoices in the workflow.

The estimate workflow (set up) covers sending, validity and texts around acceptance — not automatic reminder emails for open estimates on fixed days.

Area Invoices in Moneybird Estimates in Moneybird
Automatic reminder in workflow Yes, configurable No (no separate estimate reminder)
Resend with your own text Through invoice process Yes, Send estimate again
Status after reply or payment Paid / open debtor Accepted (online or manual)

FollowBird is not for chasing unpaid invoices. It focuses on open estimates in Moneybird.

Manual follow-up in Moneybird: what it means day to day

Without an extra tool, follow-up means:

  1. Open the estimate overview and filter open items.
  2. Open each estimate that needs attention.
  3. Choose Send estimate, edit the email (“short reminder about quote …”) and send.

That works but scales poorly. You must remember who already got a second mail, and you lack a central view of which reminders are due now unless you use spreadsheets. More background: Moneybird estimate reminder and estimate follow-up.

Where FollowBird adds value (and what it does not)

FollowBird is an independent add-on. You sign in with your Moneybird account; we ask for access to estimates and settings (we only use those settings to get notified when an estimate changes), not invoices or bank data. We do not change the estimate in Moneybird — we read status and contact details and send email with your template.

What FollowBird does

  • Up to 3 reminder moments on a set number of days after sending (e.g. 7 and 14 days), set by you per administration.
  • Your template with blocks and preview before you go live.
  • Dashboard with open estimates, reminders due now and the next scheduled reminders.
  • Emails stop when the estimate is accepted or rejected in Moneybird; expired estimates (status late in the connection) still receive reminders.
  • Pause per administration when you want no emails temporarily.
  • 14-day trial, then €19.00 per month excl. VAT when you subscribe.

What FollowBird does not do

  • No phone follow-up, no WhatsApp.
  • No CRM pipeline, no lead scoring.
  • No automatic invoice reminders.
  • No legal advice on binding quotes (see is a quote legally binding).

If several reminders are theoretically due on one day, FollowBird sends the earliest and schedules the next for a later run — one clear step at a time.

Fair comparison: same goal, different layer

Question Moneybird only Moneybird + FollowBird
Resend estimate Yes, manual per quote Not needed for every ping; schedule runs
Steady rhythm without weekly thinking You remember Schedule in FollowBird
Source of truth for amount and status Moneybird Moneybird
Email reminders for open estimates Resend Up to 3 automated
Cost In your Moneybird plan + €19.00/month excl. VAT after trial

Moneybird is your main system for creating, sending and accepting estimates. FollowBird is a layer on top for the email rhythm until yes or no.

When to stay with Moneybird only

  • You rarely have more than one open estimate.
  • You prefer calling each client instead of emailing.
  • Manual Send estimate is fine and you do not forget it.

When to add FollowBird

  • You have several open quotes and want the same rhythm for each.
  • You are done tracking “who already got mail 2?” in your head.
  • You want reminders before the validity date (quote validity period).

Estimate workflow and validity: what Moneybird does automate

The estimate workflow helps with texts, expiry and the process around sending and acceptance. When the validity date passes, an estimate can become expired — useful for your overview, but that does not replace a reminder before that date. Combine a validity date in Moneybird with a schedule in FollowBird so your client can still reply while the offer is current.

Online acceptance through the Moneybird portal reduces “no reply because the email was lost”. FollowBird adds reminder emails when there is still no acceptance — not a second quote PDF, but your short email and link to the existing estimate.

Frequently asked questions

Does Moneybird automatically remind clients about open estimates?

No. Moneybird help states you cannot send a separate estimate reminder; you can resend the estimate. Automatic reminders are for invoices through the invoice workflow.

What does FollowBird do that Moneybird does not?

FollowBird sends up to 3 scheduled email reminders for estimates that are open in Moneybird, with your template and your schedule (days after sending). Emails stop on acceptance or rejection; expired estimates (late status) can still receive reminders. Moneybird remains the source for the estimate itself.

Does FollowBird change my estimate in Moneybird?

No. FollowBird reads status and contact details and sends email. The estimate stays in Moneybird; acceptance or rejection there stops reminders.

Do I sign in to Moneybird and FollowBird separately?

The first time and when reconnecting you sign in with your Moneybird account; after that you can also use a sign-in link to your verified notification email. FollowBird does not ask for a separate password. You manage reminders and the template in FollowBird.
