Estimate no response — what it means and how to close professionally

By Daan Weavo ·

Estimate no response is one of the most frustrating situations in your administration: you paused delivery work to write a proposal, sent it, and nothing comes back. No no, no yes, no question. This article helps you interpret that silence without invented statistics, and gives a professional path: from your first follow-up email to closing the estimate in Moneybird — optionally supported by FollowBird with up to three automatic reminders.

Silence is not always “no”

Sometimes it is timing: budget meeting next week, colleague on leave, project shifted. Sometimes it is technical: mail in spam, wrong person on the estimate, internal forward without confirmation. Sometimes it is human: the client does not want to confront you with a no.

That does not mean you should wait forever. It means you take a fixed number of steps before you treat the estimate as cold. Three email moments — manual or via FollowBird — plus optionally one phone call is enough for many trades to know where you stand.

What Moneybird shows you

In Moneybird the estimate stays open until someone accepts, rejects, or you adjust status when validity passes. There is no built-in series of estimate reminders like invoices have. You can resend the estimate; that is not a substitute for a schedule. See Moneybird estimate reminder for the honest picture.

FollowBird reads which estimates are open and sends your template on the days you configure (up to three moments after N days open). On acceptance, reminders stop automatically.

A professional step plan

Step Action Goal
1 First soft email (around day 3) Check the estimate arrived
2 Email on planning or scope (around day 10) Help decide
3 Closing email (around day 21) Yes, no, or expire
4 (optional) Phone Clarify if silence continues
5 Close estimate in Moneybird Clean administration

This aligns with estimate follow-up. You set the exact days in FollowBird; the dashboard shows open and late estimates.

What to say in the last email

Be direct but friendly. Mention estimate number and expiry if relevant. Offer two exits: accept or say it will not go ahead. Example line: “If I hear nothing before [date], I will assume the estimate is no longer active and close it in my administration.” That is not a threat; it is agreement.

When to stop automatic email

If the client still does not reply after step 3, more email is rarely useful. Do not add extra moments beyond your three — the product does not support an unlimited series. Pause per administration when you temporarily want no mail to anyone (holiday). For one cold lead: close the estimate in Moneybird; open estimates then leave FollowBird’s follow-up.

Phone without a sales tone

One call after two emails: “I wanted to check if estimate [number] is still relevant — does it still fit or should I close it?” No pitch, no pressure. If they do not answer, leave a short voicemail with the same message. Note it in your own records; Moneybird does not need to store it.

Mindset (without numbers)

No response feels personal, especially on custom work. Treat estimates as inventory: some close, some do not. Your process decides whether you did enough — not one silent client. Automation via Moneybird OAuth in FollowBird removes remembering from your head so you focus on work that is confirmed.

FollowBird in this picture

  • Template with preview — same tone as your brand.
  • Three reminder moments — no fourth default moment in the product.
  • Stop on acceptance — no mail after yes.
  • 14-day trial, then €19 per month excl. VAT — pricing.
  • Referral: extra free month after two paid months from a new customer.

FollowBird is not a partnership with Moneybird; it is an independent integration. It does not change your Moneybird estimate.

If the client returns months later

It happens. You create a new estimate with current price and date. Close old open estimates for a clean overview. Do not refer to “that email from three months ago” unless you still have the thread.

Spam and deliverability

If several clients reply on WhatsApp but not email, check your domain and spam folder. FollowBird sends your text; basic email hygiene stays with you. Ask in an early mail: “Did the estimate arrive okay?”

Team coordination

Agree who calls and who owns templates. Double emails from two colleagues after automatic reminders look unprofessional. One follow-up owner per administration is enough.

Boundaries: what not to do

  • No aggressive language or blame.
  • No dozens of emails — three moments is FollowBird’s maximum and often enough.
  • Do not assume silence is permission to start work without acceptance.

Internal admin after closing

When you close or mark expired, note briefly why in your own system (CRM, spreadsheet, note on the client). Moneybird holds status; you hold context for the next touchpoint. “No response” becomes a deliberate status, not a black hole.

No response is the end scenario of a follow-up path you set up earlier. Without a first and second email, a phone call feels out of the blue; with three emails (manual or via FollowBird), calling is a logical fourth step, not the first. Keep that order for a professional impression.

Cost of silence in your time

We do not promise a euro amount per lost estimate — that differs per business. What is clear is that every open estimate takes mental space. Automating up to three reminders via FollowBird (€19 per month excl. VAT after a 14-day trial, see pricing) is mainly time back: less “I still need to mail them” on Sunday evening.

A note on expectations

Clients read reminders as service when the tone matches your first estimate. Avoid words like "urgent" unless there is a real deadline. If people reply only after the second email, that is not failure of the first — it is normal behaviour. Adjust the days between moments in FollowBird instead of mailing more often on the same day; the product is built for up to three moments, not a flood.

Keep your Moneybird overview and FollowBird dashboard side by side: open estimates in Moneybird are leading; the dashboard shows where your schedule lags. On holiday pause per administration so no open estimate gets unexpected mail while you are away.

If you use fixed project codes on estimates, mention that code in follow-up email so the client finds the right PDF internally faster. That saves back-and-forth about which estimate you mean.

If you are unsure whether an email sounds too formal, read it aloud. That takes a minute and stops automatic reminders feeling different from your first estimate in Moneybird. Before you enable automation, send yourself a test message with the same template so you see subject line and signature exactly as clients will.

Summary

Estimate no response needs a clear endpoint: three emails, optional call, close estimate. Moneybird shows open status; FollowBird can automate the three emails while the estimate stays open. Then you let go and focus on clients who do reply.

Frequently asked questions

How long should I wait before closing an estimate?

That depends on your trade and season. Decide after how many days you treat it as cold and say so clearly in your last email.

Is no response always a no?

Not always. Sometimes it is timing, internal alignment or spam filters. One phone call after two emails can still clarify what is going on.
